About our opportunity
We are looking for a positive person with a can-do attitude who will play a critical role in the success of our projects by providing administrative support to our Forensic and Structural teams as well as manage the day-to-day administrative operations at our Macquarie Park office. As a first point of contact, you will be responsible for assisting the teams in providing customer service, setting up and assisting with quotes and tenders, job management and ensuring all systems and records are updated and maintained accurately. This role will also include a variety of administrative jobs to keep our office functioning.
To be successful in this role, you should have excellent communication and interpersonal skills, as well as a strong attention to detail. You should also be highly organised and able to prioritise and manage multiple tasks simultaneously and work well with others.
Key responsibilities of this role include:
Follow systems and procedures
Consistent and accurate project support/administration under the direction and guidance of the department leadership and / or project leaders
Subcontractor management including ensuring compliance according to our Quality Assurance obligations and issuing of works orders / engagement of subcontractors
Customer management including understating and assisting to meet KPIs and individual customer requirements, developing relationships with clients and obtaining accurate information for accounting purposes
Maintenance/coordination of schedule and budget/cost updates for projects.
Complete/manage invoicing for relative departments as required
Assist in timely and accurate submission of quotations and tender/bid documentation.
Purchasing of general office supplies such as stationery and sundries
Arranging shipping, servicing of technical equipment and receiving of deliveries
Liaising with Building Manager and working with subcontractors to implement repairs where required
Event coordination
Liaise with IT in relation to things that impact the general office
· Be a First Aid and Fire warden contact for the office
Participate in weekly workload meetings and monthly team meetings as required.
Skills and Experience:
Experience within the engineering/construction industry preferred, but not necessary
Demonstrated experience in fast paced project and administrative support coordination
Demonstrated effectiveness in verbal and written communication
Ability to work well under pressure and tight deadlines
Works well as part of a team
Must have a proactive and positive attitude
Excellent problem solving skills
Excellent written and oral communication skills
