Task & responsibilities

Office Manager Duties – Cleaning Services Company

As our Office Manager, you’ll play a vital role in ensuring the smooth, efficient, and professional running of our operations. You’ll be the central point of coordination between our cleaning teams, clients, and suppliers, helping us maintain high service standards and a clean reputation.

📅 Operational Oversight & Service Coordination

  • Plan, review, and optimize office workflows and cleaning schedules to meet client expectations
  • Manage client bookings, service contracts, and site allocations for cleaning teams
  • Set office and field service standards, ensuring quality and timeliness of services

👷‍♀️ Staff Coordination & HR Support

  • Assign cleaning staff to jobs based on availability, location, and skillset
  • Monitor work attendance, timesheets, and performance across the team
  • Support hiring, onboarding, training, and supervision of cleaning staff
  • Address staff concerns and facilitate performance reviews

🧾 Records & Financial Administration

  • Maintain up-to-date records of clients, jobs, invoices, and payments
  • Oversee petty cash, supplier bills, payroll coordination, and office budgeting
  • Prepare reports on productivity, client feedback, and operational metrics

📦 Supplies & Equipment Management

  • Monitor stock levels of cleaning products, PPE, and consumables
  • Coordinate procurement, delivery, and inventory control for supplies and tools
  • Ensure all equipment is properly maintained, tagged, and safe to use

🛡️ Compliance, Safety & Quality Assurance

  • Ensure workplace health and safety protocols are understood and followed
  • Keep track of certifications, insurance, and legal compliance documentation
  • Conduct spot checks, address service issues, and maintain client satisfaction

🤝 Client & Vendor Relations

  • Communicate with clients to address inquiries, schedule changes, or complaints
  • Liaise with contractors and suppliers for facility services or equipment needs
  • Maintain positive working relationships to support business growth
  • Work closely with internal teams and external stakeholders to ensure smooth office operations and promptly address any challenges.
  • Manage end-to-end HR functions, including hiring, onboarding, payroll processing, performance management, staff development, and promotion planning.

Qualification & experience

🎓 Qualifications & Experience

  • Diploma in Management or a related field
  • 1–2 years of experience as an Office Manager or Front Office Manager
  • Hands-on experience with office equipment, including fax machines and printers
  • Strong time management skills with the ability to prioritize and multitask effectively
  • Excellent written and verbal communication skills
  • A creative mindset with the ability to suggest and implement process improvements
  • Exceptional planning and organizational abilities
  • Comfortable working in a fast-paced, dynamic environment
