Task & responsibilities
The Office Manager will play a critical role in the efficient operation of the@Workspaces centre, ensuring a professional, welcoming, and productive environment for clients and staff. The key requirements and responsibilities of the role include:
Operational Management
- Oversee day-to-day office operations, ensuring the smooth delivery of all administrative and office support services.
- Maintain the centre’s facilities, including coordinating repairs, ensuring cleanliness, and managing supplies.
- Liaise with service providers (e.g., IT, maintenance) to resolve issues and maintain functionality of the workspace.
Client Liaison and Service Delivery
- Serve as the first point of contact for client enquiries and issues, ensuring a professional and responsive service.
- Facilitate client onboarding and ensure workspace setups (e.g., phones, internet, furniture) meet client requirements.
- Support the coordination of events and networking activities to foster a positive centre environment.
Team Leadership and Staff Supervision
- Supervise and support administrative staff, providing guidance, training, and assistance as needed.
- Allocate tasks and ensure workloads are balanced and effectively managed.
- Monitor staff performance and contribute to a positive, collaborative team culture.
Financial and Administrative Oversight
- Assist with the preparation of budgets, reports, and forecasts related to the centre’s operations.
- Ensure accurate invoicing, processing of payments, and reconciliation of accounts.
- Monitor and manage office expenditure in line with budgetary expectations.
Compliance and Policy Management
- Ensure the centre operates in line with all health and safety, legal, and company policy requirements.
- Maintain up-to-date records, registers, and documentation.
- Contribute to the development and review of operational procedures and processes.
Skills and Attributes
- Demonstrated experience in office management or a similar administrative leadership role.
- Strong organisational and problem-solving skills with the ability to prioritise tasks effectively.
- Excellent interpersonal and communication abilities to engage with clients, staff, and management.
- Proficiency in office software (e.g., MS Office Suite) and willingness to adapt to new systems.
- A proactive, flexible approach with a focus on delivering high-quality outcomes.
- Ensure all office operations comply with relevant health and safety, legal, and organisational requirements.
- Implement and maintain procedures, systems, and policies that support efficient office operations.
Technology and Systems Management
- Oversee the effective use of office management systems, software, and technology tools, ensuring staff are trained and supported.
- Coordinate IT support requests and liaise with external providers when necessary.
Qualification & experience
- Minimum of 1 year of proven experience in office management or a similar leadership role, ideally in a professional service of similar operation or corporate environment.
- Qualification in Business Administration and /or Leadership and Management related (advantage if at a higher education qualification)
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Excellent communication and interpersonal skills to engage with diverse stakeholders, including senior management and clients.
- Proficiency in office software (e.g., MS Office Suite, CRM systems) and the ability to adapt to new technologies.
- A proactive, solution-focused mindset with attention to detail and a commitment to delivering exceptional service.
