Whelan Property Group (WPG) is a company incorporated under the Corporations Act providing a range of Strata and Community Management services in NSW.  It was established in NSW in 2006 and manages a large and diverse portfolio of buildings and schemes across Sydney and greater NSW.

Office Management has the responsibility for the day-to-day management of all office administration duties.  The Office Manager will liaise with the Office Assistant and People & Culture Manager to support staff as well as clients. The role based at our Ultimo Head Office, with occasional visits to our Merryland office. The position reports into the Managing Director.

What you will be doing

  • Management of the Office Administrator and Receptionist

  • Oversea morning teas and catering

  • Track Management Agreements MMAs

  • Maintain Fair Trading compliance requirements – ie gift register etc

  • Manage weekly training schedule, update Fair Trading Agency Training Plan  and note Attendance

  • Monitor and chase Strata Community Association (SCA) PSS CPD Training  + Prepare Annual Summary for SCA

  • Renewal of supplier agreements as they fall due

  • General office maintenance – printers, keys, furnishing, leaks, cleaners etc

  • First point of contact for all IT Support Tickets

  • Oversee lost plans with receptionist

  • Building transfers in Strata Master and SMATA (software system)

  • Maintain computer asset register

  • Manage problems with IT

  • Setup new users (IT)

    What we are looking for

  • Sound experience in an administrative and operations role.

  • Ability to work in a team environment.

  • Developed interpersonal skills with an ability to liaise with external clients and all levels of staff

  • Strong initiative

  • Skills in prioritising,  organising and coordinating activities

  • Strong administrative and investigative skills

  • Demonstrated ability to maintain confidentiality

  • Developed ability to work with direction and take accountability for own actions

  • Strong written and verbal communication skills

  • Computer literacy at intermediate level

  • Meticulous attention to detail

We are looking for an enthusiastic self-starter who has sound general experience in strata or other administration-type roles (at least 5 years of clerical and office administration experience ideally with a service based company.
