What We Are Looking For:
We are seeking a Rostering & Administration Manager to join our team. The ideal candidate will have experience with Visualcare and various NDIS CRMs.

Responsibilities of the Role:
Strategic Oversight of Administration and Rostering:
Develop and implement policies, procedures, and standards for efficient and compliant operations.
Align administrative and rostering activities with the organization’s objectives and NDIS standards.
Supervising and Supporting Administrative Staff:
Lead and manage the administrative team, providing training, mentoring, and conducting performance reviews.
Oversee daily administrative tasks, including NDIS participant record-keeping, compliance checks, and documentation updates.
Ensure all documentation is accurate, up-to-date, and adheres to NDIS regulations.
Rostering and Workforce Planning:
Assist HR with onboarding and system training for staff.
Oversee efficient rosters that meet participant needs while optimizing resources and minimizing costs.
Monitor staff availability, qualifications, and participant requirements to create balanced and compliant schedules.
Implement systems to track staff performance, absences, and availability for reliable coverage.
Ensuring Compliance with NDIS and Employment Regulations:
Ensure compliance with NDIS standards, Fair Work regulations, and internal policies.
Stay updated on regulatory changes and adjust processes as needed.
Problem Solving and Crisis Management:
Resolve issues arising from administrative tasks, scheduling conflicts, or staffing shortages.
Provide solutions for last-minute rostering changes, such as arranging replacements or reallocating resources to meet participant needs.
Data Analysis and Reporting:
Analyze data to assess the effectiveness of administrative workflows and rostering efficiency.
Prepare regular reports on key performance metrics such as participant satisfaction, compliance rates, and budget adherence for senior management.
Stakeholder Communication and Relationship Management:
Communicate with stakeholders, including participants, families, support providers, and staff to ensure expectations are met.
Coordinate with other managers and departments to align administrative and rostering efforts with broader organizational goals.
Process Improvement and Quality Assurance:
Continuously evaluate and refine administrative and rostering processes to improve efficiency and service quality.
Implement quality control measures, such as audits and regular reviews, to ensure high standards across all administrative and rostering activities.
