The Executive Assistant also serves as a liaison to the Executive Team, including providing some EA support for 2 executives. Key duties and responsibilities include:Plans, coordinates and ensures the CEO's schedule is followed and respected Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and officeResearches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential natureDetermines appropriate course of action, referral, or responseProvides a bridge for smooth communication between the CEO’s office and internal departments, including Belron Group; to maintain credibility, trust and supportWorks closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place and keeping the CEO updatedProvide some EA support to Operations Director and People & Leadership Director for travel and diary managementProvides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impactPrioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressuresCompletes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetingsCoordinating Executive meetings including compiling, formatting, editing, and distributing papers and facilitation if neededComply with requirements of the health, safety and wellbeing (HS&W) policies and related HS&W procedures developed by O'BrienPassionate, committed and contributes to the achievement of O’Brien’s balanced scorecard across the quadrants of: People, Customer, Society and Financial The Perks O’Brien® is committed to giving you fantastic benefits, a platform for development and working with you to grow your career.
