Client Services Officer:  

Position Title: Client Services Officer 

Reports to: Principal Adviser 

Employment: Full-time – at least 4 days per week in the office

Location: Melbourne (South Melbourne currently but moving to Melbourne CBD)

Position Purpose: 

The Client Services Support role is responsible for providing essential support to financial advisers by ensuring that clients receive exceptional service and assistance. This role involves handling client inquiries, processing requests, and maintaining high standards of client satisfaction and compliance. 

Key Responsibilities: 

  • Provide direct support to financial advisers in managing client inquiries, requests, and issues, ensuring timely and accurate resolution. 

  • Assist in the development and implementation of client service processes to enhance the client experience. 

  • Collaborate with financial advisers to understand client needs and tailor support services accordingly. 

  • Maintain accurate records of client interactions and transactions to ensure compliance with internal policies and external regulations. 

  • Assist in the preparation and management of client documentation, including agreements and reports. 

  • Stay informed about industry best practices and regulatory changes that may impact client service delivery. 

  • Provide administrative support to the client services team, contributing to the overall efficiency of operations. 

  • Respond promptly to clients’ enquiries in person, via phone call and email.  

  • Provide office service as required including but not limited to answering phones, ensuring office supplies, assisting with meeting and event set up. 

Education / Qualifications / Certifications: 

  • Financial services diploma or progressing towards this or a related discipline is preferred. 

  • Experience in client services or a similar support role within financial services. 

  • Strong organizational and problem-solving skills. 

  • Excellent communication and interpersonal skills. 

  • Proficiency in client relationship management tools and software. 

  • Ability to work collaboratively within a team environment and independently when required. 

  • Commitment to maintaining high ethical standards and delivering exceptional client service.
