The Role:

We seek a detail-oriented and proactive Administrative Assistant to join our Research team. Reporting to the Practice Manager and liaising with the Research managers, you will play a key role in supporting our Clinical Research Coordinators and Investigators at our Hutt St location. 

Key Responsibilities:

  • Collaborating with the Research Team in the delivery of a quality research service within the scope of the role.

  • Daily preparation for patient research visits.

  • Manage research patient and CRA bookings, appointments and enquiries.

  • Assisting with coordination of finance including collating data, creating invoices, process billing, and updating financial records.

  • Provide regular reports and updates to practice and research management.

  • Support research marketing activities – liaise with our marketing team to promote our research trials through our website, Mailchimp and social media.

  • Maintain investigator site and patient files, ensuring documentation/filing is consistent across research and the clinical software.

About You:

  • Highly organised.

  • Detail-oriented with a passion for accuracy.

  • Strong work ethic.

  • Ability to work autonomously and within a fast-paced team environment.

To be successful in this role, you will have:

  • Previous experience in an administrative role or similar.

  • Excellent written and verbal communication skills.

  • Strong organisational skills with a keen eye for detail.

  • A proactive, self-motivated approach with the ability to manage multiple tasks simultaneously.

  • High-level accuracy and attention to detail.

  • Initiative, honesty, and integrity in all aspects of your work.

  • The ability to handle confidential information with professionalism.

  • Proficiency in IT, particularly MS Office (Excel is essential).

  • Familiarity with medical terminology is essential.

  • Understanding of research terminology is highly desirable but not essential.

  • Knowledge of clinical trial processes and guidelines is highly desirable but not required.

  • Experience with Healthtrack is an advantage but not required.

  • A valid National Police Check.
