About the Role
To provide timely, accurate and professional frontline support to prospective and current students, ensuring student administration processes, communications and records are managed in accordance with HIMAA policies and procedures and the Standards for Registered Training Organisations (RTOs) 2025.
Key Responsibilities
Student Support and Administration
Manage student enrolments and progression activities in line with organisational processes, including
Processing enrolments, withdrawals, deferrals, extensions, and course transfers
Reviewing and approving ID submissions and qualification documentation
Identifying and resolving USI mismatches, including communicating required actions to students
Monitor and support student engagement and academic progress by:
Identifying students who may require academic or personal support and escalating to the Manager
Managing Study Support Session bookings via Microsoft Teams
Tracking students approaching or reaching course completion deadlines and communicating proactively
Coordinating exam workshop participation, including:
- Uploading students to sessions
- Ensuring accurate communication is provided
- Reporting exam candidates to the external invigilator team
- Issuing certificates upon completion following academic approval
Complaints Handling
Manage and resolve student complaints in accordance with organisational policies and procedures
Ensure all complaints are handled professionally, fairly, and in a timely manner
Provide timely, accurate and professional communication via email and phone with prospective students, existing students and stakeholder enquiries, including managing multiple email inbox enquiries.
Maintain impeccable data and records pertaining to prospective students, existing students and stakeholder enquiries.
Identify recurring information gaps or misunderstandings to inform quality improvement objectives.
Coordinate student submissions for HIMAA Matters.
Finance Administration
1. Provide students with information on financial terms and conditions.
2. Activate fee subscription for new enrolments.
3. Issue invoices associated with extensions, deferral and exam bookings.
4. Manage age receivables and follow up non-payments.
Key Selection Criteria
You will be assessed on your ability to meet the following key selection criteria and within the context of the ‘Key Responsibilities’ described above.
Qualifications
A Certificate IV in VET or higher education in education support, training and assessment (TAE), or business administration is strongly encouraged.
Experience and Skills
Experience in the Australian VET sector, including RTO compliance, LMS use, and student support across the student lifecycle
Familiarity with aXcelerate or similar learning management systems
Strong front-line customer service and student support experience
Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams, SharePoint)
High attention to detail with a focus on policy and compliance adherence
Organisational and Problem-Solving Skills
Excellent prioritisation, time management, and organisational skills.
Ability to adapt and reprioritise effectively in a dynamic environment.
Ability to demonstrate initiative and take a positive and collaborative approach to resolving issues.
Communication and Interpersonal Skills
Demonstrated ability to communicate clearly and professionally in both written and verbal forms.
Demonstrated ability to work across organisational boundaries to deliver high-quality service, resolve issues and achieve positive outcomes.
Ability to build and maintain effective professional relationships while working autonomously in a remote environment.

Candidate Requirements
Successful passing of criminal record check prior to appointment.
Access to reliable internet and suitable home-based office environment.
Availability to travel if required of the role, for example to attend an annual all team in person meeting/workshop.
