Job description

  • Oversee and manage the daily operations of the office
  • Ensure smooth administrative and operational workflow across departments
  • Support senior management with coordination, reporting, and documentation
  • Maintain organised systems for records, files, and internal processes
  • Act as the primary point of contact for administrative matters
  • Improve efficiency by identifying and implementing better office systems
  • Assist with financial administration including invoicing and expense tracking
  • Coordinate communication between staff, management, and external stakeholders
  • Ensure compliance with company policies and operational procedures
  • Maintain a professional, structured, and productive office environment

Task & responsibilities

  • Oversee and manage day-to-day office operations 
  • Coordinate internal communication and administrative workflow 
  • Maintain accurate records, files, and documentation systems 
  • Manage scheduling, meetings, and executive calendar support 
  • Assist with invoicing, expense tracking, and financial reporting 
  • Liaise with suppliers, service providers, and external partners 
  • Monitor office supplies and manage procurement processes 
  • Support senior management with operational reporting and analysis 
  • Ensure compliance with company policies and workplace procedures 
  • Identify and implement improvements to office systems and processes

Qualification & experience

  • Proven experience in office management or senior administrative roles 
  • Strong organisational and time-management skills 
  • Excellent written and verbal communication skills 
  • High attention to detail and strong problem-solving ability 
  • Proficiency in Microsoft Office and/or Google Workspace Ability to manage confidential information with discretion 
  • Experience with accounting software such as Xero, MYOB, or QuickBooks is advantageous
