Project Coordinator

The Project Coordinator (PC) is responsible for the coordination of drafting and design with appointed external draftsmen, maintaining project schedules, coordinating production, and ensuring alignment with schedules. The PC must escalate issues to the Project Manager (PM) when necessary, communicate daily with Site Managers and provide structured updates to internal and external stakeholders. Additionally, the PC manages subcontractor coordination during construction and installation, maintains risk and issues registers, and ensures timely escalation of key issues to the PM and General Manager (GM).

Task & responsibilities

Design & Drafting Coordination

• Liaise with external draftsmen to ensure timely and accurate drafting and design output.
• Ensure design submissions align with project requirements and constraints.
• Review drafts for completeness and compliance before submitting for approvals.
• Coordinate design queries between the drafting team, engineering, and the PM.

Project Scheduling & Coordination

• Maintain project schedules, ensuring all stakeholders are aligned on timelines.
• Identify deviations from schedules and escalate where necessary to the PM.
• Work closely with the production team to ensure fabrication aligns with project timelines.
• Track and report progress against the master schedule.

Communication & Reporting

• Provide daily updates to the PM, GM, and COO based on structured templates.
• Engage in daily communication with Site Managers (clients and SBA) to ensure site activities are aligned.
• Submit structured weekly updates to Clients, PM, GM, and COO.

Subcontractor & Construction Coordination

• Liaise with subcontractors throughout the construction and installation phases.
• Ensure subcontractors have the necessary project information and meet scheduling requirements.
• Address site-related coordination issues and escalate concerns promptly.

Governance, Risk & Compliance

• Maintain project risk and issues registers.
• Identify potential risks early and implement mitigation strategies.
• Escalate key issues to PM and GM as they arise to enable proactive resolution.
• Administer financial documentation by processing purchase orders and invoices for subcontractors and suppliers.

Qualification & experience

• At least two years of relevant experience
• Relevant qualifications (Bachelor's Degree or above) in Project Management, Construction, Engineering
• Strong Communication Skills (Written and Verbal)
• Excellent people management skills
• Ability to work unsupervised and be able to work within a team environment
• Be self-motivated with an outstanding work ethic
• Excellent time management and attention to detail
• Be proactive in maintaining a strong client focus
• Willingness to travel if required
