We are seeking a reliable and well-organised Office Manager to oversee daily operations at our busy motel/hotel. This client-facing role requires a motivated professional who can manage front desk functions, supervise office and housekeeping staff, coordinate guest services, and ensure smooth communication between departments. The ideal candidate will have strong time management skills, experience in hospitality operations, and the ability to wear multiple hats in a fast-paced environment. Responsibilities include improving administrative processes, maintaining inventory control, handling scheduling, and ensuring a high standard of service across all guest touch points.

Task & responsibilities

  • Contributes to planning and reviewing hotel/motel office services and standards.
  • Organizes staff meetings, appointments, and scheduling with hotel/motel teams.
  • Allocates staff, space, and equipment to support hotel/motel operations.
  • Coordinates with IT on reservation systems, property management systems, and office technology.
  • Procures and manages hotel/motel office equipment, supplies, and service maintenance.
  • Assigns work, monitors staff performance, and provides feedback in coordination with hotel/motel departments.
  • Supports hiring, training, promotions, and supervision of hotel/motel office and front-desk staff.
  • Manages office records, guest files, and financial accounts.
  • Establishes procedures for record-keeping, retention, and secure disposal.
  • Manages vendor and service contracts (e.g., housekeeping, maintenance, and suppliers).
  • Ensures all work complies with laws, hotel policies, and industry procedures.
  • Ensures compliance with Work Health and Safety regulations in hotel/motel operations.
  • Manages executive calendars, guest scheduling, and client appointments.
  • Prepares reports, presentations, and operational materials.
  • Develops and implements office/front-desk procedures and KPIs.
  • Suggests and implements changes to improve efficiency in hotel/motel operations.

Qualification & experience

Minimum Qualification Diploma or Higher

At least 1 years of work experience

Good knowledge of using technology

Excellent written & verbal communication skills
