The successful candidate will be responsible for managing, reviewing, and administering contractual agreements, ensuring compliance with legal, regulatory, and company requirements. This role also involves supporting procurement, financial administration, and risk management processes, requiring excellent organisational and analytical skills.

Task & responsibilities

Duties will include but are not limited to:

  • Preparing, interpreting, and reviewing contractual documentation, including service agreements and engagement letters, to ensure compliance with legal standards, industry best practices, and company policies.
  • Liaising with clients, suppliers, and internal teams to clarify contract terms, negotiate amendments, and ensure a mutual understanding of obligations.
  • Monitoring and administering contract performance, including tracking key deliverables, milestones, and deadlines, and addressing any variations or discrepancies promptly.
  • Maintaining contract registers and documentation, including variations, renewals, and correspondence, to ensure clear audit trails and data accessibility.
  • Assisting with procurement and tendering processes, including gathering quotes, reviewing supplier proposals, and supporting supplier selection for value-for-money outcomes.
  • Supporting financial administration duties such as reconciling accounts, processing invoices, tracking contract-related payments, and preparing financial reports for management.
  • Coordinating the preparation and review of documentation related to client taxation and compliance services, including compiling supporting materials for income tax returns, BAS, and financial statements.
  • Assisting accountants in gathering and organising client records for audits, ATO correspondence, and other compliance requirements.
  • Liaising with external stakeholders such as the Australian Taxation Office (ATO) and other regulatory bodies to clarify contractual or compliance-related matters.
  • Implementing and maintaining internal systems for contract tracking, cost control, and document management.
  • Collaborating with management to evaluate contractual risks, identify compliance issues, and propose process improvements.
  • Ensuring compliance with legislative and regulatory requirements relevant to contracts, financial transactions, and service delivery.

Qualification & experience

  • A relevant qualification in business administration, commerce or a related discipline (minimum AQF Diploma or higher).
  • At least 12 months of experience in contract administration or a similar role.
  • Strong understanding of contractual terms, procurement processes, and compliance requirements.
  • Excellent organisational and time management skills with the ability to meet strict deadlines.
  • Strong communication, negotiation, and analytical abilities.
  • Proficiency in Microsoft Office and document management systems.
