The New Black Cleaning is seeking a full-time Contract Administrator to join our team in Cheltenham.

The successful candidate will be responsible for reviewing, interpreting, maintaining and administering commercial service contracts and contractor agreements across our cleaning operations and managing contractual variations and compliance throughout the life of each contract.

The role will work closely with management, clients, property and facilities representatives, cleaning supervisors, contractors, suppliers and other relevant stakeholders to ensure contractual obligations are clearly understood, risks are appropriately managed and agreed service requirements are implemented across the business.

This is a full-time, office-based position located in Cheltenham, Victoria.

Task & responsibilities

  • Develop, review and assist in negotiating new and existing commercial cleaning service contracts, contractual terms and variations.
  • Review contractual provisions relating to service scope, cleaning frequency, pricing, service levels, performance requirements, access arrangements, additional works, cancellation, renewal and termination.
  • Analyse proposed contract terms and variations to identify commercial, operational and contractual risks and provide recommendations to management.
  • Prepare, review and maintain documentation associated with client contracts, supplier agreements, contractor arrangements, contract variations, renewals and service amendments.
  • Respond to enquiries and assist in resolving contractual matters concerning service scope, variations, contractual obligations, service performance and other issues affecting clients and service delivery.
  • Coordinate approved changes to cleaning contracts and ensure variations to scope, frequency, pricing or service requirements are properly documented and communicated to the relevant operational team.
  • Maintain accurate contract registers, correspondence, variation records, renewal dates, supporting documentation and other contractual records.
  • Monitor performance against contractual obligations and work with management and operational teams to ensure services are delivered in accordance with agreed scopes of work, service specifications, service frequencies and other commitments made under client contracts.
  • Liaise with clients, property and facilities representatives, suppliers, contractors and internal staff regarding contractual requirements, amendments and ongoing obligations.
  • Interpret and explain contract terms and conditions to relevant stakeholders to support compliance and informed decision-making.
  • Establish and maintain effective relationships with clients, contractors and suppliers to identify contractual issues, minimise commercial risk and support the effective delivery of cleaning services.
  • Prepare contractual correspondence, notices, variation documentation, renewal documentation and other contract-related communications.
  • Advise the Director and senior management on contractual issues requiring attention and provide recommendations regarding variations, renewals, contractual risks and disputes.
  • Implement management decisions relating to contracts and ensure approved contractual changes are appropriately documented and communicated.

Qualification & experience

To be successful in this role, you will ideally have:

  • An AQF Diploma or higher qualification in Business, Law, Project Management or a related discipline, or an equivalent overseas qualification.
  • At least 12 months of relevant experience in contract administration, contract management or a closely related role.
  • Demonstrated experience reviewing and interpreting commercial contracts and service agreements.
  • Experience managing contract variations, renewals and contractual documentation.
  • Ability to identify contractual and commercial risks and provide practical recommendations.
  • Strong written communication and document management skills.
  • Strong attention to detail and ability to maintain accurate contractual records.
  • Strong stakeholder-management and problem-solving skills.
  • Ability to communicate contractual requirements clearly with clients, management, contractors and operational staff.
  • Good organisational skills and the ability to manage multiple contracts and deadlines simultaneously.

Experience with commercial cleaning, facilities management, property services or another service-based industry will be highly regarded.
