About the Role
We are seeking a highly organized and detail-focused Buying Admin Assistant to support our Gro Urban Oasis team. This role provides essential administrative support across product data, e-commerce listings, customer service, wholesale accounts, and store allocations.
You will play a key role in ensuring product information is accurate, stock is correctly allocated to stores, and customer and trade enquiries are handled efficiently across all channels.
Key Responsibilities
Buying Administration Support
· Maintain accurate product data across homewares and plants, including descriptions, pricing, SKUs, and supplier details
· Assist with raising and tracking purchase orders
· Update and maintain stock records and supplier information in internal systems
· Coordinate supplier communications including order updates, invoices, and delivery timelines
· Support seasonal product updates through administrative and data entry tasks
· Store Allocations
· Assist with allocating stock to retail stores based on availability, guidelines, and stock requirements
· Monitor stock levels across locations and support replenishment allocations
· Process store transfer requests and ensure accurate system updates
· Communicate allocation updates to relevant internal teams
· Support the coordination of new product allocations into stores
E-commerce Support
· Upload and maintain product listings on the website
· Ensure product content, imagery, pricing, and stock availability are accurate and up to date
· Assist with website updates and promotional changes as required
· Regularly check listings for accuracy and resolve discrepancies
Customer Service
· Respond to customer enquiries via email, phone, and online channels
· Manage order-related queries including delivery updates, returns, and exchanges
· Provide product information and basic plant care guidance where required
· Deliver a high standard of customer experience and communication
Wholesale Support
· Process wholesale orders and maintain accurate account records
· Communicate with trade customers regarding order status, availability, and delivery updates
· Prepare and send product information, pricing lists, and order confirmations
· Assist in maintaining strong relationships with wholesale accounts
Skills & Experience Required
· Previous experience in an administrative, retail support, e-commerce, or customer service role
· Strong attention to detail and accuracy in data entry and record keeping
· Excellent written and verbal communication skills
· Ability to manage multiple tasks and priorities across different channels
· Proficiency in Microsoft Excel and/or inventory or e-commerce systems (Shopify experience advantageous)
· Customer service experience preferred
· Interest in homewares, interiors, and plants highly regarded
