The Role
As our Administration Coordinator, you will play a vital role in supporting smooth day-to-day operations. You’ll help ensure everything runs like a well-oiled machine while learning all aspects of how a trade business operates.
Your day-to-day responsibilities will include:
Workflow Management
Oversee job workflows in collaboration with our Fabulous Scheduling Coordinator and technicians.
Raise jobs and quotes, and manage purchase orders and job entries using our job management system Simpro.
Ensure all documentation, inductions, and access forms are completed before jobs commence. We are proudly an ISO certified business and our team prides itself on detail.
Act as a secondary point of contact for incoming calls and email correspondence.
Accounts & Financial Administration
Assist with accounts receivable, primarily responsible for invoicing, and reconciliations.
Transfer invoices and purchases into Xero and monitor financial accuracy.
Follow up on discrepancies and maintain precise records.
Compliance & Quality
Maintain up-to-date compliance registers (incidents, complaints, subcontractor docs, staff training).
Ensure team adherence to WHS, environmental, and quality standards in line with ISO standards.
Office Operations & Equipment Oversight
Manage office supplies, maintenance, and general upkeep.
Oversee equipment and vehicle registers, servicing, registration, and calibration.
About You

To be successful, you will need:
Experience: At least 2 years' experience in a fast-paced administrative role.
Tech Savvy: Proficiency in Microsoft Office (Excel/Word). Experience with workflow and finance systems (Simpro/LaserPro and Xero is highly preferred).
Skills: Impeccable attention to detail, a strong sense of accountability, and excellent communication skills.
Knowledge: Working knowledge of WHS, environmental, and quality systems.
Qualifications: Relevant qualifications in Business Administration are highly regarded
