We are looking for an experienced Office Manager to organise and control the day-to-day functions and resources of the firm's office. Reporting to the Managing Principal, you will run the firm's administrative, financial and personnel administration, facilities and business systems so that our professional staff can focus on client work.
· Plan and review office services, set priorities and service standards, and maintain the firm's administrative procedures.
· Allocate office space, equipment and technology; manage facilities, the office lease, IT and workplace suppliers, and software subscriptions.
· Assign and monitor administrative and operational work, including time recording and the set-up of new client engagements (CRM records, matter folders, project and time codes).
· Manage the firm's records and business systems (SharePoint, HubSpot CRM, ProjectWorks).
· Manage day-to-day accounts: client invoicing and engagement letters, debtor follow-up, supplier invoices, expense claims, project budgets and WIP reporting, in liaison with the Managing Principal and external accountants.
· Coordinate personnel administration: recruitment administration, onboarding and offboarding, employment records, leave and attendance, performance reviews, training and monthly payroll.
· Ensure compliance with workplace health and safety and other legislative requirements; manage insurance renewals and corporate records.
· Coordinate firm events, CPD sessions and webinars, and support website, CRM and business development administration.
· AQF Diploma or higher in business, management or a related field, or at least three years of relevant experience.
· Experience managing office operations, financial and payroll administration, personnel administration and suppliers, ideally in a professional services, accounting or legal firm.
· Experience with CRM, project management, payroll and document management systems (HubSpot, ProjectWorks, Employment Hero and SharePoint or similar).
· Strong organisation, attention to detail and written and verbal communication skills, and the ability to work with senior management, professional staff, clients and external providers.
