We are seeking a suitably qualified and experienced Office Manager to oversee and coordinate the day-to-day administrative and operational functions of the organisation.
About the Role
The Office Manager will be responsible for organising and controlling office functions and resources, supervising administrative activities, maintaining effective office systems and supporting the efficient operation of the organisation.
Key Responsibilities
The successful candidate will be responsible for:
• Managing and coordinating the day-to-day administrative operations of the office.
• Planning, reviewing and improving office services, administrative systems, procedures and workflows.
• Establishing office priorities and maintaining efficient administrative processes.
• Coordinating the allocation and effective use of office staff, equipment, facilities and other resources.
• Assigning administrative duties and monitoring staff performance and completion of assigned tasks.
• Supervising and coordinating administrative and clerical staff.
• Managing organisational records, correspondence, filing systems, databases and documentation.
• Maintaining office accounts, invoices, expenditure records and administrative financial records.
• Liaising with management, suppliers, service providers, professional advisers and other stakeholders on office and administrative matters.
• Coordinating the maintenance of office premises, equipment and facilities and arranging repairs and procurement where required.
• Assisting management with budgeting, administrative reporting and operational planning.
• Coordinating personnel administration, including recruitment support, staff induction, training, employee records and payroll-related administration.
• Developing and maintaining appropriate office policies, procedures and administrative controls.
• Ensuring compliance with applicable workplace health and safety requirements, internal policies and relevant legislation.
• Providing administrative and logistical support for the organisation's religious, educational and community programs, meetings and activities.
• Coordinating communication and administrative requirements between management, employees, volunteers, religious personnel and other stakeholders.
• Preparing reports, correspondence, meeting documents and other administrative materials for management.
• Identifying opportunities to improve office efficiency and implementing appropriate administrative systems and procedures.
• Undertaking other office management and administrative responsibilities reasonably required for the effective operation of the organisation.
The successful applicant should have:
• A relevant Diploma, Advanced Diploma, associate degree or higher qualification in Business, Business Administration, Management or a related field.
• At least 2 years of relevant experience in office administration, office management or a closely related role.
• Experience working within a not-for-profit, community or religious organisation will be highly regarded.
